About the role:
As part of the Employer Registration team, you’ll support Collective members through payroll tax onboarding and ongoing state payroll tax account management. You’ll register new businesses with state agencies, ensure accurate filings, verify compliance for existing accounts, and review payroll/accounting software setups. You’ll also manage state tax notices, handle correspondence, and keep clients informed throughout the process. Strong communication and comfort navigating tools like Salesforce, Slack, Google Workspace, Confluence, Zoom, Adobe, and Microsoft Office are essential. Please note: This role requires working US business hours (Pacific Time).
What you'll do:
- Payroll Tax Registration
- Register LLCs as employers with state agencies (no prior experience needed).
- Follow documented steps, troubleshoot issues, and update documentation.
- Interpret unclear state websites and work directly with state representatives to resolve problems.
- Collaborate with teammates across the workflow and manage communication between members, state agencies, Gusto, and internal teams.
- Review Gusto Shell Accounts
- Review system-generated shell accounts, verify accuracy, and flag errors.
- Submit tickets for corrections and share product feedback with the Product team.
- Maintain updated documentation.
- Handle State Correspondence & Notices
- Review notices, work with Gusto support to resolve issues, and file missing tax/wage reports.
- Update tax rates/account IDs in Gusto and keep clients updated.
- Software Ownership Transfers
- Transfer Gusto and Xero ownership/subscriptions during client offboarding.
- Coordinate with support teams to resolve any transfer issues.
- Team & Member Support
- Communicate with members to address questions and provide clarity.
- Update documentation for process improvements or regulatory changes.
- Partner with cross-functional teams to streamline onboarding and ensure compliance.
What you'll bring:
- 3+ years of experience in project management, operations or client support roles (e.g., Customer Success or Client Onboarding).
- Experience working with a US-based organization.
- Strong communication, problem-solving, and attention to detail.
- Able to manage multiple priorities in a fast-paced, remote environment.
- Bonus: documentation management, compliance work, or US payroll/payroll tax knowledge.
